AI Guidelines
1. Set yourself up for success Leveraging available resources is an important part of preparation, and we encourage you to use every available tool (including AI) before your interviews to do research, organize your ideas, and learn about our company and the role you’re interviewing for. At Avature, we believe preparation should empower you to demonstrate your skills authentically, ensuring the role is the perfect match for you. However, don’t forget that an interview should always reflect your own skills and knowledge — above all, we want to know you.
2. Showcase the real you At Avature, we value the unique perspectives, skills, and experiences that define who you are. AI is a remarkable tool for sparking creativity, helping ideas take shape, and boosting efficiency, but it should enhance, not overshadow, your authenticity. When we join an interview, we want to connect with the true you, your lived experiences, and your authentic voice — not an AI-crafted version that may misrepresent you. By avoiding AI-generated scenarios or fabricated experiences, you not only showcase your strengths but also ensure the role you’re pursuing is genuinely the right match for you. Open conversations, after all, are at the heart of every meaningful connection.
3. Build trust through clarity Transparency and accountability are essential to how we operate at Avature, and we expect the same from our candidates. While we encourage AI use for preparation, we ask that it is not used during live interviews to supplement your performance unless explicitly agreed upon. Additionally, we encourage caution when using AI tools, avoid inputting sensitive or confidential information, as its use and storage cannot always be guaranteed. When in doubt, we always value honesty and proactive communication first.
As technology evolves, we find ourselves relying on various tools and resources not only for personal purposes but also to support professional endeavors. These include finding jobs, creating resumes, and preparing for interviews.
As a company that provides software solutions for HR, we encourage candidates to leverage AI tools to prepare for interviews. However, while we recommend using these resources to research and prepare, it's important to note that using AI tools during certain stages of our process may impact your candidacy. At Avature, we value authenticity and aim to get to know each candidate as an individual.
Below, we outline our interview stages, their purposes, and our policies regarding the use of AI tools for each stage:
-
Before Any Interview
Researching our company, products, and culture before any interview is not only appreciated but strongly encouraged: it demonstrates your interest and readiness. AI tools can be great for this purpose, and they can also help you prepare for interview questions, reflect on your past projects and contributions, and practice articulating your experience.
-
Engagement/Screening
These are the initial stages, shared with our Talent team. At Avature, we have a people-centric approach and we aim to understand each candidate’s unique qualities. These conversations focus on your work experience, interests, and motivations to identify alignment with our opportunities.
To ensure authenticity and transparency, the use of AI tools is not permitted during these stages. It’s important for us to evaluate candidates in a genuine and unmediated way.
-
Logic
This stage is designed to assess your analytical and logical reasoning abilities, as well as cultural aspects through skills like communication, collaboration, autonomy, among others.
AI tools are not allowed in this stage, as our goal is to understand your thought processes and approach to problem-solving without external assistance.
-
Technical Interviews
In this stage, we evaluate your technical skills and expertise. You’ll work on exercises where the use of AI tools and other resources is permitted but regulated. We assess not only the technical solutions you provide, but also your ability to effectively utilize these tools to support your problem-solving process.
During the interview, you will be expected to explain how you use these tools, your approach to solving the exercises, and the reasoning behind your decisions. If you choose to use an AI tool live, you should be able to explain how you are using it and demonstrate how you integrate and shape the tool's output to achieve the final result. It’s important that you clearly articulate the criteria you apply when using these resources.
Additionally, we encourage transparency, so please inform us beforehand if you plan to use any additional tools to avoid any misunderstandings.
-
Area Interview
In this stage, you’ll meet with managers from the relevant area. The focus will be on how your experience, projects, contributions, and skills align with this specific role and the current situation of the team. This stage is all about authentic, human-to-human conversation, and your chance to share your story in your own words, so AI tools are not allowed here.
Important Note If we detect the use of AI tools during interview stages where their use is not permitted, we may need to discontinue your application. These stages are designed to get to know you authentically, and we value honesty and transparency throughout the process.
Examples of permitted vs. Not permitted use
| Stage | Permitted | Not Permitted |
|---|---|---|
| Preparation (before) | Refining your CV with AI while staying true to your experience; practicing common questions; researching Avature | Submitting AI-generated responses as your own |
| Screening | Speaking in your own words and voice | Reading or depending on AI-generated answers in real time |
| Logic Test | Solving with your own reasoning | Consulting AI for the solution |
| Home Project (if allowed) | Using AI as support and explaining prompts and reasoning | Submitting a project fully generated by AI without human input or context |
| Technical Interviews | Transparently showing how you integrated AI into your process | Fully relying on AI or failing to explain its role in your solution |
| Area Interview | Using AI as a coach to rehearse speaking about your background and experience | Using AI to generate answers in real time |
-
Use AI as a copilot, not the pilot.
-
Always create your own draft first, then refine with AI.
-
Practice explaining your thinking and decision-making.
-
Be transparent: if you used AI in an exercise, share how and why.
-
Never use AI to invent achievements or misrepresent your background.
At Avature, AI is a tool we use to enhance efficiency and improve your experience as a candidate, but it never replaces the human connection that’s at the core of everything we do—including recruiting.
Here’s how we currently integrate AI into our hiring practices:
-
Refining job descriptions:Our recruiters or hiring managers may use AI to refine initial drafts of job descriptions that they create. Any final version is always reviewed by our team before publishing, to ensure they accurately represent the role and the skills required.
-
Supporting outreach and communication:AI can help our recruiters draft and structure messages to potential candidates. Every message is then personalized by a recruiter to ensure it reflects genuine interest and clear context.
-
Resume parsing:Our recruitment platform uses AI to extract key detailsdata from resumes and enter themautomatically input it into our applicant tracking system, helping recruiters manage candidate profiles efficiently and keep the process organized. This allows our recruiters to manage candidate information efficiently and keep the process organized.
-
Interview preparation:Interviewers may use AI to generate or refine interview questions tailored to the role, ensuring they’re clear, relevant, and aligned with the skills we want to assess.
Avature is committed to providing reasonable accommodations for candidates who may be affected by the use of AI or automated tools during our recruitment process. If you require an adjustment or alternative process, please inform your recruiter, and we will provide a human-led or accessible alternative
Across all these parts of our recruitment process, AI acts as a supporting tool, not a decision-maker. Every step of the process is guided and reviewed by our team, ensuring that hiring decisions are based on genuine human judgment and a fair evaluation of each candidate. AI outputs are never the sole basis for a decision.
